🚀 What is Applicant Portal?

Summary

The Applicant Portal is a portal for applicants to track the status of their reports. They can see what searches are pending, communicate via messaging with their Company, and upload any required documentation that is needed. 👉 Contact us to enable this feature for your account.


Applicant Notifications

👉 QuickApp applicants are notified automatically at the end of the application process (confirmation page) and an email will trigger in addition based on configuration.  If you used the QuickAPP feature the applicant will be notified to automatically to access the portal.


Note: On the Report Results page, you can click on 'Applicant Portal Email' button any time to send the invite manually. 

The applicant will receive an email to login into the Portal.  The applicant will enter the Reference Number (File Number) and they will then have the option to choose a One Time Code or Answer Questions. If there is a phone number gathered during the background check applicant information section or the QuickApp is sent via texting, then the one-time code will work. If no phone number is on the file, it will error out, and they will need to select the Answer Questions option.


The Answer Questions option will ask for two pieces of information which can include: 

  • Last 4 of the SSN or PIN
  • Driver License
  • Last 4 of the phone number provided
  • Postal Code
  • Alternate ID (type they provided)
  • DOB

There is a log-off button in the top right of the applicant portal. The applicant can simply click 'Log-Off' and it will return them to the login page. If the applicant hits the refresh button, it will not log them out. 


Note: No email or text will be sent between 11PM and 6AM MT. Any reminder emails will only be sent at 6AM MT and no text will be sent with reminder emails. Reminders will be sent for unread Applicant Portal messages once a day for 7 days or until it has been read.


Documents

The applicant has access to the Document Portal via a hyperlink, 'See Required Documents' or 'Documents need your attention' appears for easy access. Retrieving and uploading the required documents is completed on the Document Portal.


The documents section will show two things:

1. Required Forms and Documents 

Messaging

The Company user and the Applicant can message each other through the portal. On the Report Results page, you will find the Applicant Portal Messages section, above the Report Notes. There are two number badges that show when a new message (right side) is available and the total number of messages (left side). 

NOTE: Applicants can access the portal up to 90 days after report completion, after 90 days they will be denied access.
